How BidWorks Works

From tender document to polished submission in six clear steps. BidWorks guides your team through the entire bid response process, whether you're an estimator, bid writer, or project manager.

1

Upload Tender Documents

Start by uploading the Request for Tender (RFT), addenda, schedules, and any other tender documents. BidWorks accepts PDF, DOCX, and TXT files. Once uploaded, our ingestion engine automatically reads, chunks, and indexes the content so it's ready for analysis.

Supported formats: PDF, DOCX, TXT
2

Review Extracted Requirements

BidWorks automatically extracts requirements from your tender documents, classifying each as "Must" (mandatory) or "Should" (desirable). Requirements are organized by category and displayed in a compliance matrix so you can see exactly what the client is asking for.

Must requirements are mandatory for compliance
3

Upload Your Evidence

Upload your organization's evidence: case studies, CVs, policies, certifications, insurance documents, and past project summaries. Tag each piece of evidence so it can be matched to the right requirements. This forms your evidence library that powers AI-assisted drafting.

4

Link Evidence to Requirements

Connect your evidence to the requirements they address. This is the key step that turns "Gap" requirements into "Compliant" ones. Link a case study to the methodology section, insurance certificates to the compliance requirements, and CVs to the team submission. The compliance matrix tracks your progress in real time.

Gap turns to Compliant when evidence is linked
5

Draft Sections with AI

For each submission section (Methodology, Program, Risk, etc.), BidWorks can generate a draft using your linked evidence. The AI only writes claims supported by your evidence, never inventing capabilities. You can edit, refine, and save multiple versions. Every draft includes citations back to the source evidence.

Evidence-bound drafting with automatic citations
6

Validate & Export

Before submission, BidWorks validates your bid against all Must requirements, checks your team is assigned, and ensures all sections have content. Once all checks pass, compile your submission and export as DOCX, CSV Pack, or a complete ZIP bundle. Lock the bid to prevent accidental edits before submission.

Key Concepts

Pipeline Stages

Bids move through stages: Prospect (early interest), Qualification (assessing fit), In Progress (active writing), Review (final checks), and Submitted.

Compliance Status

Gap means no evidence linked. Pending means linked but section content is empty. Compliant means requirement is fully addressed.

Evidence Library

Your reusable collection of case studies, CVs, policies, and certificates. Evidence can be shared across multiple bids and linked to specific requirements.

Lock Gate

Before you can lock a bid for submission, all Must requirements must be Compliant, a Project Manager must be assigned, and the submission must be compiled.
